We are conducting an exclusive search mandate for an internationally oriented, non-profit foundation seeking an Executive Assistant to the CEO & Board of Directors. In this pivotal role, you will support the CEO in both strategic and operational matters, coordinate Board and committee meetings, ensure systematic follow-ups, structure workflows and processes, and act as a key liaison between the CEO, the Board, and international teams.

We are looking for a passionate Executive Assistant who takes ownership, works proactively, thinks ahead, and brings structure to a dynamic environment. The CEO is seeking a reliable sparring partner – someone clear, confident, solutions-driven, and an excellent communicator – who strongly identifies with the purpose and mission of a globally active non-profit organisation.

Tasks

  • Comprehensive administrative and organisational support for the CEO and Board – from agenda and travel management to polished, professional correspondence
  • Coordination and documentation of all management and Board meetings, including agendas, briefing materials, minutes/recordings and systematic follow-ups
  • Support Good Governance and Best Practices through administrative, organisational, and content-related tasks, including drafting, updating, and implementing foundation documents and monitoring follow-ups
  • Central liaison and communication hub between Management, the Board, country teams, and external stakeholders – with a strong focus on values-driven communication with donors, sponsors, and supporters
  • Occasional recruiting support, collaboration with external partners (e.g., IT), and ongoing optimisation of internal processes

Qualification and Experience

  • Commercial apprenticeship (KV) and further training in Assistance, Communications, or a related field, 5+ years of experience supporting senior international executives, including complex stakeholder management
  • Excellent written and verbal communication skills in German and English, additional languages (Italian and/or Spanish) are an asset
  • Strong identification with purpose-driven, socially impactful work and a genuine motivation to enable real impact through professional executive support, not only supporting, but actively shaping
  • Exceptional communication and organisational skills, highly structured, reliable, self-directed, and committed to delivering high-quality results
  • Proactive problem-solver with strong forward-thinking abilities, someone who creates clarity, anticipates needs, and acts as the go-to person and central liaison for the CEO, Board, and teams – the true Assistant superpowers
