Our client, Suyana Foundation, is an internationally active Swiss foundation with a clear mission: to sustainably strengthen people and communities through projects in health, livelihood and education.

For the office in Zug, we are looking for a structured, reliable and solution-oriented personality as Office Manager who ensures the day-to-day operations of the organisation’s office and acts as the central interface and go-to person between management, the team and external partners.

The role offers an exciting combination of traditional office management and support tasks for management and the board and therefore also provides growth potential.

Tasks

  • Provide administrative and organisational support to management and the team in day-to-day operations and ensure the smooth running of the office, including materials, infrastructure and service providers
  • Actively support HR administration, recruitment processes as well as employee onboarding and offboarding
  • Organise and coordinate board meetings, including preparation of materials, minute-taking and follow-up of decisions
  • Manage events and travel, including the review and processing of expense reports
  • Maintain administrative systems (CRM, filing structures) and act as the first point of contact for general enquiries

Qualification and Experience

  • Commercial training (KV) and at least 3–5 years of experience in office management, an assistant role or a front office role
  • Proficient in the use of office tools, with a strong affinity for IT; experience and/or further training in HR is an advantage
  • Very good communication skills in German, English and Spanish
  • A structured, proactive and team-oriented way of working with a hands-on mentality, strong prioritisation and multitasking skills
  • A discreet and reliable personality with a high level of responsibility and flexibility as well as enjoyment of working in an international environment
