Purpose, Perspective and Personality

On behalf of an established Scandinavian private equity firm, we are exclusively mandated to find the right personality to join as Office Manager and play a key role in setting up and shaping its new Swiss office in Zug. As one of the first key functions on the ground, you will be instrumental in setting up an office that is expected to grow to around 15–20 employees. This is a unique opportunity to actively shape structures, processes and office culture from the very beginning. We are looking for a service-driven professional with drive, a hands-on mentality and an international mindset. Someone who thinks ahead, takes initiative, works independently, finds solutions and genuinely enjoys building something new. Your goal: to turn a newly established office into a highly professional and great place to work.

Tasks

  • Support the set-up and organisation of the new office and help establish efficient structures, processes and standards
  • Provide organisational and administrative support to the Managing Partner and other Partners based in Zug
  • Manage day-to-day office operations, provide ad hoc support to the Berlin and London offices and act as a key point of contact for the team, stakeholders, international colleagues and visitors
  • Coordinate and organise travel, meetings and events, including occasional travel for location scouting
  • Support employees relocating to Switzerland and potentially take the lead in finding and setting up a new permanent office in Zug (current office is temporary)

Qualification and Experience

  • Commercial apprenticeship, ideally complemented by further training in Office Management or a comparable qualification
  • Initial relevant experience in Office Management, an Assistant role or a service-driven environment such as hospitality, aviation or tourism
  • Business-fluent or native-level English and fluent German, combined with strong IT affinity
  • A natural organiser with a hands-on mentality and the superpower to find a solution to almost any challenge – proactive, independent and pragmatic
  • An open, positive and engaging personality with plenty of drive, a strong service mindset and genuine enthusiasm for taking ownership and building something new
